Terms and Conditions, Clinic Policies and Practice Standards

1. Business Information

Holistic Care Durham is a sole trader business owned and operated by Leanne Barker. Holistic Care Durham provides complementary therapy services, Reiki sessions, Reiki training, workshops, and related wellbeing appointments from a private treatment setting in Station Town, County Durham.

All services are offered subject to availability, suitability, professional discretion, and the policies set out below.

2. Website Booking Policy

All bookings for treatments, training, workshops, events, mentoring, and other services must be made through the Holistic Care Durham website only.

Manual bookings are not accepted. This includes bookings made by text message, social media message, email, telephone, or verbal arrangement.

A booking is only confirmed once it has been made through the website, the required payment or deposit has been received, and the client or student has actively agreed to the relevant Terms and Conditions at the point of booking.

By completing a booking through the website, the client or student confirms that they have read, understood, and agreed to these Terms and Conditions and policies.

3. Payment Policy

Holistic Care Durham may require either full payment at the time of booking or a non-refundable deposit, depending on the service booked. The payment structure for each service will be clearly shown on the website at the time of booking.

Where a deposit is taken, the remaining balance must be paid in line with the booking terms stated at checkout.

No appointment, training place, or event place will be held without the required payment being made.

4. Cancellation, Rescheduling and Refund Policy

Holistic Care Durham operates a strict no refund policy for client or student cancellations, non-attendance, missed appointments, forgotten bookings, inability to attend, withdrawal from training, or change of mind.

Where a client or student chooses to cancel, does not attend, arrives too late for the service to proceed properly, or decides not to continue, payments already made are non-refundable.

Where a deposit has been paid, the deposit is non-refundable. Where full payment has been made, that payment is non-refundable.

Holistic Care Durham may, entirely at its own discretion, offer an alternative appointment, transfer, or rescheduling option. This is not guaranteed and is offered only where considered appropriate.

If Holistic Care Durham cancels a booking, or decides not to proceed because the booking is not considered appropriate, clinically suitable, professionally aligned, within scope, or consistent with business boundaries, a refund may be issued at the practitioner’s discretion.

5. Practitioner Discretion and Right to Decline

Holistic Care Durham reserves the right to refuse, cancel, postpone, or discontinue any booking at any stage where this is considered necessary in the interests of safety, suitability, professional boundaries, ethical practice, therapeutic appropriateness, practitioner wellbeing, lone-working safety, or the integrity of the service.

This includes situations where the practitioner considers that the booking is not a good professional fit, the service requested is not appropriate, the information provided is incomplete or concerning, or it is otherwise not appropriate to proceed.

Where Holistic Care Durham chooses not to proceed with a booking, a refund may be issued at the practitioner’s discretion.

6. Consultation, Consent and Clinical Information Policy

All clients must complete any consultation form, health form, consent form, or intake documentation required before treatment.

All students must provide any information reasonably requested in relation to their booking, training suitability, attendance, and safe participation.

Clients and students are responsible for providing honest, accurate, and up-to-date information about any matter relevant to safe treatment or training, including health history, symptoms, diagnoses, medication, allergies, injuries, pregnancy, recent procedures, skin sensitivity, infectious illness, and any other relevant factor.

Holistic Care Durham relies on the information provided. Where information is incomplete, inaccurate, withheld, or changes, treatment or training may be adapted, refused, postponed, or discontinued.

Consent is treated as an ongoing process and not simply a one-off form. Holistic Care Durham reserves the right to pause, modify, or stop any service where clinically indicated or professionally appropriate.

7. Scope of Practice

Holistic Care Durham provides complementary therapy and wellbeing services intended to support rest, relaxation, regulation, and general wellbeing.

Holistic Care Durham does not diagnose illness, prescribe medication, replace medical care, provide emergency treatment, or guarantee outcomes.

Clients are responsible for seeking advice from an appropriate regulated healthcare professional where medical assessment, treatment, or urgent support is required.

8. Privacy and Data Protection Policy

Holistic Care Durham is committed to handling personal information lawfully, fairly, securely, and confidentially.

Information collected may include name, address, contact details, booking information, consultation forms, health-related information relevant to treatment, training attendance information, appointment history, payment records, and correspondence.

This information is collected for purposes including managing bookings, delivering treatments or training safely, maintaining appropriate records, meeting legal, insurance, safeguarding, and tax obligations, and communicating in relation to services booked.

Health information is treated as sensitive personal data and will be handled with the additional care required under UK GDPR.

Personal information will not be sold or shared for unrelated marketing purposes.

9. Confidentiality Policy

Holistic Care Durham treats client and student information confidentially and with respect.

Confidentiality may be limited where there is a lawful, ethical, safeguarding, or safety reason to share information. This includes concerns about serious harm, abuse, neglect, safeguarding, legal obligations, court requirements, regulatory duties, or insurance-related requirements.

Where any disclosure is necessary, it will be limited to what is reasonably required.

10. Infection Prevention and Control Policy

Holistic Care Durham is committed to maintaining a clean, hygienic, and clinically appropriate environment for in-person treatment and training.

Reasonable infection prevention and control measures are maintained in accordance with the setting and nature of the services provided. These may include hand hygiene, regular cleaning of treatment surfaces and touch points, use of clean linens and towels, appropriate handling and laundering of used items, cleaning of reusable equipment between clients, safe product handling, and sensible measures to reduce the spread of infectious illness.

Clients and students must not attend if they are unwell with symptoms of a contagious illness, including vomiting, diarrhoea, fever, or significant respiratory infection, unless this has been discussed in advance and expressly agreed.

Holistic Care Durham reserves the right to postpone or refuse treatment or attendance where infection risk is considered unacceptable.

11. Clinical Hygiene and Treatment Environment Policy

Holistic Care Durham maintains a treatment environment intended to be safe, clean, calm, and professional.

This includes maintaining clean treatment surfaces, fresh linens and towels, appropriate waste handling, clean hands and clean working surfaces, safe use of oils and skincare products, and careful product selection in line with consultation information and contraindications.

Any treatment involving close physical contact, facial work, oils, skincare products, or shared surfaces will only proceed where Holistic Care Durham considers hygiene and safety standards to be appropriate.

12. Health and Safety Policy

Holistic Care Durham is committed to maintaining a safe environment for clients, students, visitors, and the practitioner.

Reasonable steps are taken to reduce foreseeable risk, including maintaining clear access and exit routes, using equipment appropriately, keeping the environment clean and orderly, maintaining awareness of fire safety, and responding appropriately to incidents or accidents.

Clients and students must follow any reasonable safety instructions given while on the premises.

13. Lone Working and Practitioner Safety Policy

Holistic Care Durham is operated by a sole practitioner working alone. Lone-working safety is taken seriously at all times.

Holistic Care Durham reserves the right to refuse or cancel any booking where there is concern about identity, communication, behaviour, boundary crossing, intimidation, discomfort, or any other issue that may affect practitioner safety or the safe running of the business.

Appropriate measures may include screening bookings, keeping appointment records, maintaining access to communication, and applying clear professional boundaries.

14. Professional Boundaries and Behaviour Policy

Holistic Care Durham provides a professional service and expects all communication and conduct to remain respectful.

Inappropriate behaviour will not be tolerated. This includes abusive language, aggression, intimidation, sexualised behaviour, harassment, dishonesty relevant to the booking or consultation process, repeated boundary crossing, or conduct that undermines the safety or professionalism of the environment.

Holistic Care Durham reserves the right to end communication, discontinue a session, refuse future bookings, or cancel a training or event place where behaviour is inconsistent with safe and professional practice.

15. Training, Workshops and Student Conduct Policy

All training places, workshops, circles, and events must be booked through the website and are subject to these Terms and Conditions.

Students are expected to behave respectfully and professionally and to engage with honesty and appropriate conduct throughout the booking and training process.

Holistic Care Durham reserves the right to refuse attendance, remove a participant, decline progression, or withhold certification where conduct, suitability, participation, honesty, or professional alignment is not considered appropriate.

Where Holistic Care Durham cancels a training place or chooses not to proceed before delivery, a refund may be made at practitioner discretion. Where a student cancels, withdraws, changes their mind, or does not attend, no refund will be given.

16. Complaints Policy

Holistic Care Durham aims to provide a professional and respectful service.

Any complaint should be raised in writing within a reasonable timeframe so that it can be reviewed properly.

17. Website Terms and Intellectual Property

Use of the Holistic Care Durham website does not create a therapeutic or training relationship unless and until a booking has been properly made through the website and accepted in accordance with these Terms and Conditions.

All wording, branding, written materials, downloads, images, and course content belonging to Holistic Care Durham remain the intellectual property of the business unless otherwise stated.

No content may be copied, reproduced, republished, or reused without permission.

18. Policy Updates

Holistic Care Durham reserves the right to update or amend these Terms and Conditions, clinic policies, and practice standards at any time.

The version in force at the time of booking will apply to that booking.
